Privacy

How we think about privacy.

This page outlines how OuroDocs handles information in and around the portal—for both clients and freelancers. It's a concise overview, not a substitute for the full legal terms you accept when using the service.

1. Scope of this notice

This privacy overview applies to information handled through the OuroDocs portal and related services: client workspaces, freelancer dashboards, and supporting systems used to operate the platform. It is focused on how we approach data in practice, not on marketing activities or third-party websites we don't control.

2. Information we handle

The information we work with depends on whether you're a client or a freelancer, and how you use the platform.

Clients

  • • Workspace and company information.
  • • User account details (name, email, role).
  • • Documents you upload for processing.
  • • Structured outputs generated from those documents.
  • • Usage metadata (timestamps, activity, basic diagnostics).

Freelancers

  • • Application and profile details.
  • • Contact information you provide to us.
  • • Referral and commission activity.
  • • Payout-related information via payment providers.
  • • Basic usage and access metadata for security.

We aim to collect only what is necessary to operate the service, support you, and meet legal or contractual requirements.

3. How we use information

In general, we use information to run OuroDocs as a stable, predictable service—not as a data product. Typical uses include:

  • • Operating client workspaces and document workflows.
  • • Providing structured outputs and logs back to your team.
  • • Managing accounts, billing, and subscription details.
  • • Running the freelancer program and calculating payouts.
  • • Monitoring uptime, performance, and security.
  • • Communicating with you about service updates or issues.

We don't sell your data. If we ever consider new uses, they must align with the purpose you originally shared the information for.

4. Storage, security, and third parties

OuroDocs runs on managed infrastructure designed for modern SaaS applications. In practice, this means:

  • • Encrypted connections to the portal (HTTPS).
  • • Data stored in access-controlled environments.
  • • Limited internal access, based on operational need.

We rely on selected third-party providers to operate the service (for example, for hosting, payments, and secure document storage). Those providers are only given the information they need to deliver their part of the service and are expected to handle it appropriately.

If you require a more detailed list of processors or need specific compliance documentation, please contact support@ourodocs.com and mention your role and workspace name.

5. Retention and access

We keep data for as long as it's needed to operate your account, meet legal or accounting obligations, and maintain a safe, auditable service. Retention windows may vary based on:

  • • Whether you are an active client or freelancer.
  • • The type of information (billing vs. operational logs).
  • • Any obligations under local law or contract.

If you'd like to review, correct, or request deletion of certain information, reach out with sufficient details so we can identify your account and data in question.

6. Regional privacy rights

Depending on where you live, you may have additional rights under local data protection laws (for example, around access, correction, portability, or objection to certain processing).

If you believe such rights apply to you and you'd like to exercise them in the context of OuroDocs, contact us and indicate:

  • • The country or region whose laws you're relying on.
  • • The specific right or request you'd like to exercise.
  • • Enough context to locate your account and data.

7. Changes and questions

As the product evolves, we may update this overview to stay aligned with how OuroDocs actually operates. If changes are significant, we will aim to highlight them through the portal or by email to affected users.

If you have questions or need more detail than this summary provides, please contact support@ourodocs.com.
